Warsaw, PL, 00-189
Area: Microsoft 365 Copilot, Claude, AI Office / Modern Workplace
Workload: Flexible, up to 30 hours per week, depending on your availability
Working model: Hybrid, with 2 days per week in the office near Dworzec Gdański
Reporting to: AI Solution Architect / Modern Workplace Manager
KMD operates in a Danish-Polish environment and delivers IT products and services to the Danish public sector. We are expanding the use of AI tools such as Microsoft 365 Copilot, Github Copilot, Cursor and Claude. To support responsible adoption, we are looking for a student worker to help with recurring administration, onboarding, governance tracking, community support, and user-question triage.
In this role, you will support AI adoption in a real enterprise setting where structure, responsibility, documentation, and trust matter.
You will work closely with the AI Solution Architect and support the daily operational processes around AI tool access, license requests, user onboarding, Viva Engage communities, training follow-ups, and governance documentation.
This role is ideal for someone who is genuinely excited about AI, actively follows how AI tools are developing, and wants to learn how they can be introduced responsibly in a large organization. You do not need to be a developer. What matters most is curiosity, learning drive, and interest in practical AI adoption — supported by structure, reliability, attention to detail, and confidence with Microsoft 365 tools.
Your tasks will include:
- Maintaining request and approval flow for Microsoft 365 Copilot and Anthropic Claude platform.
- Supporting license request processing and following up on missing information.
- Preparing onboarding communication for new users.
- Helping maintain internal FAQs, guidance pages, and governance documentation.
- Supporting Viva Engage communities for Copilot and Claude.
- Collecting and categorizing user questions from sessions and channels.
- Preparing follow-up posts after training or Ask the Admins sessions.
- Tracking vendor/admin updates and summarizing required actions.
- Supporting reporting on usage, requests, approvals, and open issues.
- Escalating compliance, security, architecture, or unclear cases to the owner responsible.
Example weekly work split:
- License and admin tracking - Managing Copilot and Claude request queues, following up on missing information, and tracking approval status.
- User support triage - Categorizing questions, answering standard queries, and escalating more complex topics.
- Onboarding - Sending onboarding materials, updating lists, and collecting feedback.
- Community support - Supporting Viva Engage posts, session follow-ups, and Q&A collection.
- Documentation - Updating FAQs, maintaining governance trackers, and keeping internal pages accurate and up to date.
- Reporting support - Preparing short status summaries for governance meetings and internal stakeholders.
We expect that you:
- Above all, are genuinely curious about AI and interested in following new AI tools, features, and use cases. You use AI regularly for your own learning, exploration, or work because you are genuinely interested in it.
- Are structured and reliable.
- Have excellent English communication skills, both spoken and written, at C1/C2 level.
- Are comfortable working in an international Danish-Polish environment, with English as the main working language.
- Are comfortable using Microsoft 365 tools.
- Can keep lists, trackers, and documentation accurate.
- Want to understand how AI can be adopted responsibly in a large enterprise — not just use the tools casually.
- Can distinguish between standard admin tasks and topics that require escalation.
- Handle information responsibly and with attention to confidentiality.
Nice-to-have skills:
- Basic understanding of Microsoft 365 Copilot.
- Interest in AI governance, compliance, or data protection.
- Experience with Excel lists, SharePoint lists, Forms, or Power Apps.
- Experience with user support or community management.
- Basic understanding of software development tools such as GitHub, Azure DevOps, or Claude Code.
- Ability to create clean slides or short internal guides.
You will gain experience with:
- Microsoft 365 Copilot & Claude governance and adoption.
- AI tool administration in an enterprise environment.
- License and access management processes.
- AI governance, compliance, and responsible adoption.
- How AI tools are introduced in a company delivering IT products and services to the Danish public sector.
- Internal communication, community management, and user enablement.
Recruitment process:
- A phone conversation with a Talent Acquisition Partner.
- An interview with the hiring manager and a team member.
Please note: During the first 1–2 months of onboarding, you may be asked to work from the office more frequently to support closer collaboration with the team, better understand the role and its requirements, and get familiar with our ways of working.
